INSTRUCTOR's COMMENTS

Dear students.

I got to check everyone's work and have listed them all here. I hope by now, you've all gone through it and fixed the mistakes. I will expect the "CORRECTED" versions in print form in our 2nd class after eid. No second chances on this.

For those of you who had only minor corrections, a word of applause! I'm proud of you guys. good work!!

For those who got it wrong by a HUGE mark, i suggest you pull your act together and get to work. With December as our submission deadline, this kind of work will not get you enough score to get an A.

I suggest you make sure the grammar of your work is right. This is an english language based submission. If you are unable to convey your message correctly through what you write, it will cost you many precious marks.

I will not correct your sentence structures or fix grammar for you. You'd have to see that. However, in all future submissions, i will mark the sections that are not right, in red when i publish them here so you knew Where exactly to correct.

HAve fun!

Umair - Leather accessories

INTRODUCTION & DESCRIPTION OF THE PROBLEM:

Leather Fashion is a leather accessories retail shop. It was established in 1991 by Mr. Muhammad Taimoor. This shop deals in all kinds of leather bags and wallets both ladies and gents. As it is located in a very busy area like Liberty Market Gulberg, it is visited by many of its customers every day. Mr. Taimoor has an accessories maker who makes who makes new designs for the shop and delivers them on his shop for display. It is quite an old & well recognized shop but still has a manual database.
The main problem with this system is that the records are kept on registers and these registers take a lot of space of the shop. It is difficult for the owner as well to look up on the everyday dealings on these registers, and the records are easily accessible to anyone who comes to the shop and there is no data security. The major problem is that the items are not given specified items number properly and makes the workers work hard to find the items in the stock. So, it is very difficult for both the owner and the workers to look up the records.
So, Mr. Taimoor asked for my help to give him a computerized system to maintain his costs.

AIM:
My aim is to give Leather Fashion an efficient computerized system to maintain the records of daily transactions on the large memory of computer other than on huge piles of pages using the further objectives.

OBJECTIVES:
1. My objective is to make the system user friendly so that the fixed costs reduce as many workers would not be needed.
(What does user friendliness has to do with reduced fixed costs?)
2. To reduce paperwork and store data on huge storage capacity of computer hard disks.
3. To manage the records of the items in the shop by making a database including of item numbers and their positions.
4. As the data is saved on computers there will be a security check by applying passwords and selected people would be only able to access data.
5. By making separate charts for different items and categorizing them.
6. Use POS terminal for automatic data entry so that errors would be avoided and customers get their computerized receipt.
7. Improve goodwill of the shop by maximum customer satisfaction.

Very precise set of objectives. Good work. However, if you add a thing or two about speed of work, searching etc. it will add to your portfolio of objectives here.

Shaujat - ANS

Analysis
Introduction

In beginning of year 2005 Mr. Kamran Shafqat started a shop ANS Video centre in Hafizabad. Hafizabad is a small city in which most people are employed in field of agriculture. At that time people of this city very rarely used to rely on multimedia for entertainment. One reason for this was that they did not had any shop in city to provide them material i.e. CDs and DVDs.

ANS was the first video shop in Hafizabad. The aim of shop was to rent out DVDs. The shop only deals with DVDs of movies. Mr. Kamran, before starting shop used to work as manager sales in Blockbuster Videos Lahore, so he had vast experience of maintaining business of video shop. Business was started from very low level in single shop and three members of staff but with time shop was able to attract many customers and was able to win there trust. Mr. Kamran has shifted shop to a double story building and shop has staff of 15 persons including 5 women. Staff does not have fixed salary. They receive 10 percent of the total money received from members associated with them. Shop remains open from 1:00 pm to 1:00 am.

Shop has 1978 members in total. Details of each member are written on resisters. Record of movies available is also updated. Apart from that, details of staff and members associated with them are also written on separate registers. Time is wasted in searching movie and records of members as number of members is now near 2000. Members have to wait for long time for turn and many of them leave shop unsatisfied. This is against the manifesto of shop. Searching records of staff and calculating their salaries is another problem. The store is currently being run by quite a number of employees and all have different writing styles. Staff members can read "5" as 5 or S. This cause serious problem as often different movie is handed over to customer.
Another problem is security of records. It is not satisfactory in manual system as no backups could be easily maintained. If records are stolen or destroyed by natural or physical means store will be in huge loss. There is also big problem of cheaters who knew video shop do not has system of checking validity of membership card and had created duplicate cards.

Shop has passed the time when it could managed by manual documents. Now it is almost impossible. I am one of the member of XYZ Videos and close friend of Mr. Kamran too. I face these problems too so I choose to make my O level project on XYZ Videos.

(continuity of name. How can this be your final submission and you still ignore such mistakes. Decide if it is ANS or XYZ.)

Aims and Objectives New System

 The system would be more efficient in data managing so it can result in better searching of movies and managing data.
 It would be able to replace all paperwork that is taking up precious space of the Video Store, which could be put to other use.
 To create a backup to secure work in the form of USB and DVDs
 To prepare database managements system this would increase the security of records.
(security is increased via password protection.. do NOT confuse functions of one thing with another)
 It would be able to reduce human participation, as far as possible, so that the chance of errors and mistakes of any type are negligible.
(Reducing human participation?? Manpower required will be lesser, chances of human errors reduced!)
 It would be able to reduce work load on remaining staff.
 To keep the updated record of salaries of employees and there working hours.
 System would perform validation check on membership card.
 System would have facility of internet so messages can be sent to member by Emails.
 Security system of video store would only allow authorize people to gain access.
 The system would be able to print report
 The system would also be able to calculate the bill that customer has to pay.
 The system would allow the user to add, edit or delete records and should also have buttons for easy and simple navigation so that records could be updated easily.
 User friendly interface should be used to enter data as staff of Video Store will not be initially trained.
 It should be able to replace extra staff employed for updating records of member, movies available and movies rented.
 The system should have combo boxes, check boxes and option boxes etc. so that only correct data can be entered and that the user does not input any calculations which might have a greater chance of being incorrect.
 System should be able to show graph of profit and loss of Video Store.

Make sure you promise them only what your system WILL do. If you mentioned a P&L chart, your system has to have it.

Abdullah - Digital fortress

A few grammatical errors.. fixed. Besides the ones ive sent you in PROJECT GUIDELINES ONE, this could be used as sample too..

Description of the Problem

Digital Fortress is an electronics retail store that was founded by Mr. Ahmed Fayaz in 2002. It currently has only one branch near WAPDA Town roundabout in PIA society. Mr. Ahmed Fayaz is currently the manager of Digital Fortress. Digital Fortress deals in selling of different electronic items that include mobile phones, mobile phone accessories, televisions, computers, computer accessories and different types of gadgets. During the years it has become very famous in the neighborhood. Now it has a large number of customers visiting every day. And they also various electronic suppliers, in which most of them are multinational companies, that are famous all over the world. And provide them with the latest devices available in the market, as soon as they are launched.
The major problems include data security as all of the information is kept in drawers. The system is inefficient as all the records are kept and recorded manually on registers, which in turn makes it difficult to generate reports as everything is hand written. They also have problems in keeping and searching the warranties of the items purchased and customer loyalty cards as all the records are stored in registers, and it also wastes a lot of valuable time. It is also very difficult to maintain and update the inventory manually. The service time is long and takes toll on customer satisfaction.

The manager of the store has asked me to evaluate the current system and provide a reasonable solution of their problem.

Aim and Objectives
My aim is to make the inventory control system more efficient as well as the record keeping of the sales, customers and suppliers. The objectives are as follows:

Improve inventory control system by developing optimal information system which will be easily updated and managed on day to day basis, which would help in restocking and sales of the products.
Improve Data security by enabling ID’s and passwords that would restrict the employees to their required fields, and also by enabling the system to back up.
Improving the data entry system by introducing validation checks, this will prevent errors and result in more customer satisfaction.
Improve the financial management of the system by organizing the sold items, their warranties, customer info and loyalty cards into a database.
Make a system that could generate reports for sales, customers, suppliers, stock etc. instantly, so the owner can see up to date information about any section at any time.
By organizing the stock items into a database that would decrease both searching and service time while selling items.
Making the system faster and more efficient, by organizing all the data into a database that should be user friendly and most probably click point based.
Reducing data storage space by introducing modern computerized data storage media.
Making amendments easier by having an edit option in the database for stock items, suppliers, and customers.
Reducing transaction time by introducing an efficient billing system that would use modern data entry methods such as barcodes etc. automatic calculations n generations of the bills that may also add the purchases to the proper customer’s account.

Amish - Baloch Hospital

Introduction
Baloch Hospital which was established in 2001 .The owner of the Baloch Hospital is Dr.Ausaf Baloch. The Hospital is located on Main Boulevard in Lahore. The hospital also sells various homeopathic medicines along with the medicine required by various patients. The new branch is situated in defense and provides some of the best homeopathic medicine in Lahore. Although patients are operated properly in this hospital it still has the problem of storing patient’s data.

Nature of Problem
The main problem in the existing system is that patient’s data isn’t stored properly and then there is wastage of paper and Security of personal files of the clients is also on stake as files are being kept in drawers accessible to everyone.

The problem the hospital is facing is that it is keeping its records on registers which makes it exceedingly difficult for the hospital to keep a record of, transactions, patients’ bills, employee pay rolls and other various forms of patients’ data. The data is also not easily accessible because it is not stored on a computer it is stored on registers which makes it more difficult for the user to access the data.

Aims
My aims are to enhance the current system and to form a database which consists of all the data required by the user.

Objectives
• The system will be user friendly.
• The data will be stored in a proper manner.
(what is PROPER? Use specific terminology.)
• The system will be click pointer interface.
(no keyboard entry? )
• The database will also be created to search files of different types which would make it easily accessible and would consume less time.
(rephrase: database will allow easy and prompt searching of records)
• The new system should also be able to make a backup of all the data.
• Reducing the chances of wrong data entry to the records.
• Making the system more reliable and this would satisfy the customers in a good way.
• Reducing the chances of wrong data entry to the records.
(repetition)
• Organizing the record keeping of patients’ bills. Employee payrolls and the list of various surgical instruments needed.
• Reducing chances of wrong data entry to the records.
• Use validation checks to eliminate data entry errors.
(repitition!!)
• Produce reports of patients, supplier of surgical instruments, and billings so that the owner can see up to date information when ever he wants.

Ahsan - Introduction

A TORTURE in English grammar.

Introduction:
The stationary store “Versatile” is owned by Mr. Usman. The store was established in 2000. It’s located in a society named “Askari Apartments” in Gulberg III Lahore. It has no other branches in Lahore or any where else in Pakistan. It is always crowded. Mr. Usman’s business looks running well. It has four different sections. The first section is of stationary, the one which is crowded because mostly students buy some stationary. The second section is of beauty make ups items, where there are mostly girls /women looking some make up kits and related other stuff. The third section is of books. The books section is the smallest, because the school and other types of books which are placed in the shop are just for the children of small classes. The fourth section is of gifts where one can find, wrist bands, chains, watches, lighters, decoration items and the kind of stuff which is mostly liked by the young peoples. So sometimes the fourth section also crowded.
But now as many years have passed the owner has a main problem in the shop. That is that his business system is manual. This is causing many problems. The owner is interested to computerize his store managing to over come some problems. So they had asked me to produce a computerized system which will help them to increase their sales.

The problems which the owner is facing with the manual system are that the shop data is not stored properly. Only registers are used to write the data on. At which a lot of time is wasted to write the whole account of the day. The second advantage of registers is that the wastage of paper is at its extreme. As a register is finished a new one is started. So after some time a couple or records are written on a bunch of registers which are very difficult to handle. Sometimes is also happens that the registers are misplaced and at that time the owner becomes in loss because at that time he does not know that how much product is needed and how much is in the stock. There is no security of the data because the registers are put into drawers from where the data is easily accessible to everyone. As when I will turn Versatile’s manual system into computerize system, there will be some advantages which will be helpful for the owner and might increase his sales at very extend.

(don’t mention any advantages or disadvantages. That comes at a later stage. Only list the nature of the problem very briefly. )

Objectives:
 The system will make the work faster in the shop from which the shop will be not crowded all the time and the customers will be freed quickly.
(MENTION How. Just because you say so , it wouldn’t be a better system.)
 Now the data will be stored in a proper manner not like before in registers placed in large drawers.
(rephrase. You are not to insult the manual system. Only highlight YOUR proposal’s objectives)
 In manual system the biggest problem was that if the owner had to update something in the data he had to write all the data again but in the computerize system there is no need to write the data again but the owner can just update the file he wants to.
(Never explain your objectives. This section is for LISTING YOUR GOALS REGARDING YOUR PROPOSED SOLUTION)
 In manual system there was no security of the data but now the data will be coded or the owner can give a password to the data. From this process the only owner could see the shop data no one else.
 Now the owner will have the facility of data backups.
 In case the data is lost from system he can regain the data from the backup. But if it was the manual system the owner could not get his data back because the data was on the register and if the register is gone the data is also gone.
(explaining again.. )
 The system will be user friendly.
 The system will edit and delete the data when the owner wants to.
(rephrase: easy updating.)
 Now every process will be efficient there will be no chance of any mistakes and if any errors will come the system will alert the owner.
(Do not use words like no chances, or no errors. No system in the world is known to be 100% error free or efficient)

Also, do not REPEAT objectives.

Zeeshan - Problems of the company

THIS IS THE PERFECT EXAMPLE OF WHAT HAPPENS WHEN YOU DON'T LISTEN TO YOUR INSTRUCTOR. I SPECIFICALLY TOLD YOU GUYS TO LIST NATURE OF PROBLEM IN THREE FOUR LINES AT MAX.

However, this will be helpful in later parts of project, so don't lose hope zeeshan.

Lahore Homeopathic Store

Problems of company

1) Storage of data
Customer/Patients data is written on paper and paper takes up a lot of space in the clinic. The registers in which customer purchase data is held take up a lot of space.

2) Patients code issue – misplacement of data
Sometimes a patient loses his/her code and without the code the doctor cannot relocate the patient’s data from the shelves. Therefore, a new account has to be created which results in the duplication or the unnecessary storage of more data.

3) Searching – Time consumption
Searching for a particular patient’s data through the bundles of paper takes time.

4) Updating of patients data
Updating and editing of patients’ data and reports cannot be properly done on papers and registers because editing cannot be done and also due to the fact that it will require more paper.

5) Expenses on paper
Money will have to be spent for buying more paper to store the patients’ data.

Due to these reasons, the efficiency of the medical store is dropped and it sometimes results in customer dissatisfaction. Therefore a computerized system will be needed in order to increase efficiency and speed up the service in the store.

Aims of the new system:

The aims of the new computerized system will be to ensure a more efficient running of the store with a quicker customer service. This will ensure a smooth running of the system with customer satisfaction, better time management and improved good will.

Objectives of the new system

1) Storage of all data within the computer
All data will be stored in the computer so that data mishandling and misplacement can be avoided. Therefore, the patients’ code numbers can also be kept safely with the doctor.

2) No usage of paper
If all data is stored in the computer then there will be no use for paper and therefore the expenses on paper will be avoided.

(reduced stationary support will be required. A STORE will not stop using paper just because it has a database!)

3) Easy updating and editing
The patients’ data can be easily edited and changed and all progress and medicine formulas will be saved easily and there will be no data misplacement.

4) Search time will be reduced
With a computerized system there will be easy, quick and efficient searching of files in the database.

5) Copies of the recites can be kept at the clinic in the computer – Backup Data
All recites of all customer sales can be kept at one place and in this way the customer cannot make a false claim.

6) The new system will satisfy the customers in a good way
An efficient system in which all the required data is kept intact will satisfy the customer and will be much easier for the doctor to use.
(satisfy customer, HOW? Be specific about your objectives. Realist, and not an idealist)

7) Higher data security
Passwords can be used on the data so only authorized personnel can access it.

8) Easy Billing
Bills and recites can be prepared easily on the computer and a copy can be kept in the clinic as well as with the customer.

9) Improved financial management
A database management system can be used to assist input and output processes.
(Makes No sense. You have to LINK the outcome with your project. HOW will you achieve.)
10) Customer count
The arrival of customers within a particular span of time can be isolated.

11) Immediate and quick data storage
The data can be immediately entered and saved safely in the computer. The system will make processes faster.

12) Reports can be generated after some time.
(Some time?? Reports are generated Within SECONDS)

Bilawal - Generation

GENERATION ELECTRONIC

INTRODUCTION

Generation is a gaming organization which was introduced in 2000. Since 2000, the store has been specialized in selling highly sophisticated game. The company is a sole tradership. The owner of the generation game shop is Mohammed Ahmed. The shop is located in hall road in Lahore. The shop specializes in selling highly sophisticated games, which come under the category of action, sports, adventure, etc. They run on unique game consoles such as Xbox 360 by Microsoft and Playstation by Sony. The Shop is also equipped with the high tech gaming equipment which allows buyers to have a first hand experience of the game before purchase. The shop also sells computer hardware devices such as USB and speakers. It also provides customers with all the accessories needed to run a game console and also sells DVD and blue ray games. The shop also provides services such as repair, replacement and even provides a short term credit to its regular customers.

The most crucial problem the company is facing at the moment is that it is keeping its records on registers which makes it exceedingly difficult for the shop to keep a record of the employees payroll, business transactions, record of games and accessories and various computer hardware devices. And so after the development of information technology the shop found it even hard to keep up with a manual information system and as a result the owner of the shop entrusted upon me the duty of fixing the problem and computerizing their database.

AIMS

My aim is to computerize the business transactions which involves from the buying and selling of the games and accessories. Also my aim will be to keep a detailed record in form of a database which gives information about the inventories in store.

OBJECTIVES

 To make an efficient system which will result in the selling of more products
 To create a database management system which would increase the security of the system by ID and password
 To create a data validation process which would automatically correct any errors before the data is entered (Data validation does not ACCEPT wrong data.. it does NOT correct.)
 To create the debtors and creditors table separately to improve financial management
 To keep a record of spoilt or destroyed goods
 Improve financial management by developing a database management system, to assist inputs and outputs in carrying routine tasks (Rephrased)
 Easily access of reports so that the owner can check on the running of the business is successful or not (Not access, GENERATION of reports is what you should aim at..)
 Example: Easy generation of reports so that the owner can check on the running of the business is successful or not
 To improve records of the employees and their payrolls
 To improve inventory control system by developing an optimal information system, which is easily updated and managed on day to day basis
 To create a back up of data to secure work
 To make the system user friendly
 to create a table which shows the goods to be bought from the suppliers (Can be rephrased as develop a separate form to manage minimum quantity on shelf)

Project guideline ONE

Following are examples of various introductions. Read them carefully and keep your eyes open regarding the COMMENTS sections.

PROJECT ONE: A medical store

INTRODUCTION

Al-Qamar store offers all of the benefits of medical store under a new banner. It aim to bring customers the best combination of products range quality, price and professional advise in the medical equipment and supplies to the customer. After the renovation the owner felt difficulties to continue with the manual system. So they had asked me to produce a computerized system which will help them to increase their sales.

STAGE 1)
DESCRIPTION OF THE ORGANISATION & PROBLEM

The name of the pharmacy is AL_QAMAR pharmacy store and it is situated in Umer Block Allama Iqbal town.It was founded by Abdul Wahab in 1991.It was renovated by the son of the owner in 2007.It deals with several big companies. It has only one branch in this country. The current system is based on manual system.

Unrealistic problems listed

The current system is giving some problems like:
1) Data is not stored properly.
2) Wastage of paper.
3) Security of personal files of the clients is also on stake as files are being kept in drawers accessible to everyone.
4) Space compaction of the store will arise a major problem of keeping records of growing to the computerized system before any problem is created.

STAGE 2)
OBJECTIVE & AIMS OF THE USER

1) The system will be user friendly.
2) The system will be click pointer interface.
3) The data will be stored in a proper manner.
4) The database will be created to relate data of one record to another.
5) The database will also be created to search files of different types.
6) The records of all types of data will be edited or deleted by the system.
7) The data will secured by the system through passwords and Id’s.
8) The system will make the process faster.
9) The system will also mke the process efficient.
10) The reports should be produced regularly.
11) The system should be able to make backup of all data.

12) There should be validation checks at every use full field.

Comment: Focus on computer terminology. No reference to how it will improve business itself. This is a typical example of a two mark objectives section.

Project TWO: a DVD store

Description of the Problem:

Esquire DVD Store was founded by Mr. Abbas in 1986 in the Commercial Area of DEFENCE Housing Authority, Lahore. Mr. Abbas is currently the Manager of Esquire DVD Store. This store deals in all sorts of movies and offers rental services. As it has a famous name in the market, store is visited by a large number of customers everyday. They have links with various DVD suppliers and other stores all over Pakistan, which supply them different kinds of DVDs and help them to keep their stock up to date by supplying new movies as soon as they are released.

A brief intro 1 mark

Their major problem is that they do not have a system with secured data and record keeping is not efficient as records are kept on registers. Even for staff as showing the daily sales to the Manager as report is also problem for them to tackle as report generation is hand written and difficult for the staff to calculate the number of DVDs rented.
So, the Manager of the store had called me to evaluate their current system and give them a computerised solution for their problem.

And the nature of problem mentioned. 1 mark.

Aim:
My aim is to enhance the current movie rental system as well as record keeping of entities such as movies, customers and suppliers. The objectives are listed below:

Objectives:
 Making the system more efficient would give an increase in their sales.
 Making the system more reliable would satisfy the customers in a good way.
 Organizing the record keeping of movies, customers and suppliers.
 Improving the data security of the system.
 Reducing chances of wrong data entry to the records
 Making DVDs, customers search easier and faster.
 By creating separate tables for movies, customer and suppliers.
 Use validation check to eliminate data entry errors.
 Produce reports for movies, rentals, suppliers and customers so that the owner can see up to date information whenever he wants.

Here, the student could be more SPECIFIC and use the precisely the computer terminology that will assist in achieving these goals. However the mix of both business terms and computer terms allows him/her complete marks.
